Refund Policy

This policy applies to training programs offered by NodeFlow Chart Room, including workshops, clinics, private chart reviews, and open practice sessions booked directly with us.

Deposits

Workshop registrations require a 30% deposit to confirm your seat. Clinic and private session bookings require full payment at confirmation. Deposits and fees are quoted in Vietnamese Dong.

Cancellation by participant — workshops

• More than 21 days before start: Full refund of all amounts paid, minus a 500,000 VND administrative fee.
• 14–21 days before start: 50% refund of total program fee. Deposit is non-refundable if already applied.
• Less than 14 days before start: No refund. You may transfer your seat to another person at no charge if you notify us at least 48 hours before Day 1.

Rescheduling

You may reschedule to a later cohort once at no charge if we receive written notice at least 14 days before the original start date. Reschedule requests within 14 days are treated as cancellations under the terms above, and a new registration is required.

Clinics and private sessions

• More than 7 days before session: Full refund.
• 3–7 days before session: 50% refund or one free reschedule within 60 days.
• Less than 3 days before session: No refund. One reschedule may be offered at our discretion.

No-shows

Failure to attend a confirmed session without prior notice is non-refundable. The included follow-up chart review for Foundations graduates expires 60 days after workshop completion and cannot be refunded if unused.

Cancellation by NodeFlow Chart Room

If we cancel a program due to insufficient enrolment or instructor unavailability, you receive a full refund of all amounts paid or the option to transfer to the next available date. We will notify you at least 7 days in advance whenever possible.

Work already started

Once a multi-day workshop has begun, no refund is available for remaining days. If you leave mid-workshop for personal reasons, materials already provided remain non-returnable.

Non-refundable items

Printed materials, chart recording access already activated, and administrative fees stated above are non-refundable once delivered or activated.

Refund process and timing

Submit refund requests to info@nodeflowbase.click with your registration name, program date, and reason. Approved refunds are processed via bank transfer within 14 business days to the original payer's account.
